Agreements are a fundamental building block to a strong chapter. They set the precedent that your organization has policies, and to be a member; they must abide by those. Additionally, they clearly outline any expectations for the member and the chapter.
Contracts are helpful to document for your members what they have agreed to pay. Our platform allows you to customize a contract for your members completely. A contract can be as simple as a statement or a complete lease agreement.
If you already have a contract for your members, you can copy and paste it in. Currently, we cannot upload a PDF.
You don't have to be limited to just the contracts you assign. Our contract module is a platform that you can use for your members to acknowledge your chapter's policies or acknowledge receipt of an FAQ. Some common examples of other uses are:
- Membership Agreement
- FAQ
- New Member Policies or an outline of the Pledging Process
- Code of Conduct
- Lease Agreement
- Financial Agreement
- Insurance Policies
NOTE: Templates are also available to customize; you can reach out to your greekbill rep for a template.
HELPFUL TIPS:
- You can assign multiple contracts to a member's account at once.
- Once a contract is signed, you can no longer edit it. To change the contract, you will need to create a new version.
- Also, once a member signs a contract, there is no way to unassign the contract from the member's account.
Features you can add to a contract:
Mandatory Payment Plan - To ensure a mandatory payment plan is signed, you can set it up so that when the member logs in, this is the first and only page they see. They cannot see the account or make a payment until they agree to the terms of the contract.
Signing Requirements - You can expand the required fields beyond a signature to have the signee provide the following information if you choose:
- Mandatory Member City and State Entry at Signing
- Mandatory Member Date of Birth Entry at Signing
Mandatory Co-signer Signature - For a lease or a rental agreement, you can also require that the contract has a secondary user sign the contract. Once the member signs the contract, it will appear on their secondary user's account to sign. This will further ensure that your chapter will collect on the lease agreement. The member must set up a secondary user on their account to utilize this feature.
Adding a secondary user/ co-signer. In the settings section on the member account, there is an option to add a parent or guardian. They need to fill out their information and save it. The secondary user will then get an email with login information. Once the member signs the contract, it will populate on their account to electronically sign.
NOTE: You must have a contract signed with a member where they acknowledge a financial obligation, or you will not be able to escalate an outstanding account to full collections if they do not pay any required financial obligations assigned.
